The Contractor's
Missed-Call Recovery
Script Pack

Most contractors lose $2,000 every time they miss a call. Here are the 5 scripts that get those leads to call back — proven to work within 30 minutes.

Scripts: 5 ready-to-use templates
Format: SMS, Email & Voicemail
Response window: 5 min – 48 hrs
The $2,000 problem

The average residential contractor job is worth $2,000–$8,000. When a lead calls and gets no answer, 85% of them move on to a competitor within 10 minutes. They don't leave a voicemail. They don't call back. They're gone. These scripts are your last chance to get them back.

The 5 Scripts
1
⚡ Send within 5 minutes

The Fast Follow-Up Text

This is your #1 weapon. An SMS sent within 5 minutes of a missed call gets a reply 72% of the time. Don't overthink it — short, human, and fast wins every time.

SMS Template — Copy exactly as written
Hey [First Name], sorry I missed your call — I was on a job. This is [Your Name] from [Business Name]. What do you need done? Happy to give you a quick quote today.
Use their first name if you have it from the missed call ID or voicemail.
"I was on a job" explains the miss without over-apologizing — it signals you're in demand.
Ending with a question forces a reply. "What do you need done?" is more effective than "Are you still interested?"
Keep it under 160 characters to avoid multi-part SMS fees.
2
Email — Send within 30 min

The Apology + Callback Email

For when you have their email from a web form or previous contact but can't reach them directly by phone. More formal than SMS, but still personal. Subject line is critical — use it exactly.

Email Template — Subject line + body
Subject: Sorry I missed you, [First Name] — still available today Hey [First Name], I just saw I missed your call a little while ago — my apologies for that. I was in the middle of a job and couldn't pick up. I still have availability this week for [type of work, e.g., "roofing estimates", "plumbing repairs"] and would love to help you out. Would it work to connect in the next hour or two? You can reply here or call me back at [your phone number]. Thanks, [Your Name] [Business Name] [Phone] | [Website or License #]
The subject line with their first name increases open rates by ~26% (Experian benchmark).
"Still available this week" creates urgency without being pushy — it mirrors how real contractors talk.
Including your license number in the signature builds trust immediately with a lead who doesn't know you.
3
Voicemail — When calling back

The Voicemail Recovery Script

You called them back — but now you got their voicemail. Most contractors hang up. Don't. A well-delivered voicemail gets a callback from ~28% of cold leads. Say this word for word — practice it once before you call.

Voicemail Script — Say out loud, ~25 seconds
Hey [First Name], this is [Your Name] calling you back from [Business Name] — you called us about [20 minutes / an hour] ago. Sorry I couldn't pick up. I've got some availability this week and would love to help out. Give me a call back at [your number, said slowly] — that's [repeat number slowly]. Talk soon.
Keep it under 30 seconds — voicemails over 30 seconds get deleted before they finish.
Repeat your phone number twice, spoken slowly. This is the single most impactful habit change for voicemail callbacks.
Don't say "I was just calling to see if..." — it signals low confidence. "I've got availability" signals demand.
Never ask them to "leave a message" back — tell them to call you directly.
4
SMS — Next morning (12–24 hrs)

The 24-Hour Revival Text

For leads that went cold overnight. They called, you followed up, but they didn't respond. This "soft bump" re-engages without pressure. Sends the next morning, before 9 AM for maximum open rate.

SMS Template — Morning send only
Good morning [First Name]! Just following up on your call yesterday. I have a couple open slots this week if you're still looking to get [type of work] done. Would you like a free estimate? Takes about 15 minutes.
"Good morning" is disarmingly warm and performs significantly better than neutral openers on a second touchpoint.
"A couple open slots this week" creates scarcity — even if it's not strictly true, it signals you're a busy, working contractor.
"Takes about 15 minutes" lowers the commitment barrier. People say yes to small asks before big ones.
Best send window: 7:45–8:30 AM. Avoid weekends unless they originally called on a weekend.
5
SMS — 48 hours — Final attempt

The "Last Chance" Message

This is your final shot before you stop pursuing the lead. Counterintuitively, this is often the highest-converting script in the sequence. Telling someone you're about to stop reaching out triggers a response from people who were just busy, not uninterested.

SMS Template — Last outreach, 48 hours after original call
Hey [First Name], I don't want to keep bugging you — this'll be my last reach out. If you're still looking for a quote on [type of work], I'm here. If the timing isn't right, no hard feelings at all. Either way, hope it works out for you. — [Your Name]
The "I don't want to keep bugging you" line is the key. It shows respect for their time and triggers reciprocity — they feel compelled to respond even if just to say no.
"No hard feelings" removes the guilt of not responding — which actually makes people more likely to respond.
This message converts 15–22% of silent leads in the 48-hour window (industry benchmark, contractor service category).
After this: archive the lead. Don't send a 6th message. Quality contractors respect limits.

Why Speed Is Everything

The data is unambiguous: the gap between a 5-minute response and a 30-minute response is the difference between winning and losing the job — not the price of your estimate.
